HOLIDAY GIFT GUIDE MEDIA EVENT TERMS & CONDITIONS

Fees & Payments
Registration fees must be paid in full upon selection. Exhibitor fee includes participating in the event.  The exhibitor fee does not cover other expenses, including but not limited to shipping, travel, or equipment rentals.

Number of Products per Booth
Each booth size has a different number of products that are being showcased.  We limit the number so that we can guarantee product exclusivity.

Product Registration
Your product information must be submitted to New Product Events for approval. We need you to specify the exact products you plan to showcase and not a broad product category.  We limit the number of products each exhibitor can showcase at the event so that we can guarantee product exclusivity.  Your product information must be submitted to New Product Events for approval. On your registration form, you need to indicate the products you intend to display.  On the day of the event we reserve the right to ask you to remove any items from your table that you did not register to bring.

Product Approval & Exclusivity
Your product information must be submitted to New Product Events for approval. On your registration form, you need to indicate for all four of the products you intend to display. On the day of the event we reserve the right to ask you to remove any items from your table that you did not register to bring.

We need to have specific information so that we do not turn down another exhibitor for no reason or allow another exhibitor in that has the exact same product. Until we have specific information from you we cannot guarantee product exclusivity, so please register your products as early as possible!

Definition of a “Product”
Each item counts as one of your products.  A brand that has 16 toys, needs to select 4 and provide us with a description of each.  The entire line is not one “product.” Each item must be indicated. However, if you are bringing a coffee maker and it comes in several finishes you can bring a sample of each one, such as red, chrome, black, etc. If the same handbag comes in several different material patterns, you can showcase the different options. Please let us know.  If you are featuring a new lipstick, we will ensure no other exhibitors are showcasing lipsticks.  This does not however mean that no other beauty products will be present. It is at the discretion of New Product Events as to what constitutes the limitations of exclusivity.

New Product Events reserves the right to make the final determination with regard to any competitive product and product exclusivity issues.  Exhibitors will not be contacted unless New Product Events needs clarification as to the specifics of the product, or if a conflict comes to our attention.

Product Submission Deadline
The deadline to submit your final products for approval is May 1, 2017.  Until you provide the exact product name and description, anyone can register for that product.

Booth Assignments
Exhibitors will receive the room layout with their booth assignment approximately 4 weeks prior to the event.  Exhibitors are placed in the room to create the best flow and balance.  New Product Events cannot change your booth once it’s been assigned.

Withdrawals & Refunds
Due to the need for brand and product diversity, once an exhibitor registers other brands are turned away, therefore refunds (less $200 to cover bank fees) are only given if we can fill your spot for withdrawals before March 1, 2016.  No refunds are given after March 1, 2016 under any circumstances.

At any time prior to or during the event, if an exhibitor is deemed to be disruptive by New Product Events management, a refund not to exceed 20% of the exhibitor fee will be issued at the discretion of New Product Events management.  Refunds are issued 30 days post event date.

Event Cancellation
Should the event be cancelled due to circumstances beyond the control of New Product Events, including, but not limited to, labor strikes, terrorism, earthquakes, fire, and weather conditions, exhibitors will be refunded 25% of the registration fee.  For circumstances outside of those listed above, New Product Events reserves the right to cancel any event at any time prior to the event.  Should New Product Events cancel an event, a full refund will be made to the exhibitors for the amount paid to New Product Events at the time of the cancellation.

Media Attendees
Media outlets mentioned as part of the media panel are based on firm commitments on behalf of the media attendees. New Product Events reserves the right to replace media attendees as necessary, and is not responsible for no-shows on the part of any particular media attendee.

Loss, Theft or Damage
New Product Events is not liable or responsible for loss, damage or theft of the exhibitor’s products or equipment at the event or in transit.

Special Guest Cancellation
Should any of the promoted guests be unable to attend you will be provided with their contact information in order to send a sample and materials directly to them.

Holiday Gift Guide Media Event Sponsorships
High resolution, transparent background logo must be submitted by June 2, 2017.
Event management has final say on media invite design and distribution.
Event management has final say on all signage design and placement.
Facebook, Twitter and Instagram posts must be submitted by June 2, 2017.  You can supply images in advance or we will use photography at the event.  Please include your tags and hashtags.  We reserve the right to edit as necessary.
Event management has final say on dates and times of all event social media posts.
Table décor ideas must be submitted in advance for approval.
Character limit for Wi-Fi username and password apply per network provider.
Event management has final say on Wi-Fi username and password.
After the 60-spot is delivered, changes and/or any additional editing of video spot must be contracted through the videographer directly.
Event management has final say on the 50 top media who receive the transportation code.
Event management has final say on location of Social Media Display screen.
Event management has final say on Lunch and Recharge Lounge name.
Event management has final say on the placement and size of display tables.
Event management has final say on the size and placement of display trees.
Event management has final say on the placement of all carpet clings.
Event management has final say on coffee cup and water bottle size and printing company.
Event management has final say on the design, layout and distribution of the Wrap Report.

Product Registration & Exclusivity

On your registration form, you need to indicate for all four of the products you intend to pitch.  We need to have specific information so that we do not turn down another exhibitor for no reason or allow another exhibitor in that has the exact same product. Late Arrival/No Show Exhibitors
New Product Events is not responsible for flight delays and cancelations, package delivery delays, hotel reservations, etc.  Each exhibitor is responsible for being at the event with their materials.  The event session will start on time, and any late arriving exhibitors will risk not being seating at the current session.  There are no refunds for late arrivals or missed sessions.

Media Attendees
Media outlets mentioned as part of the media panel are based on firm commitments on behalf of the media attendees. New Product Events reserves the right to replace media attendees as necessary. New Product Events is not responsible for last minute media cancelations/replacements.  New Product Events makes no representation or warranty as to the number, caliber, reach of press nor media coverage.

Event Cancellation
New Product Events is NOT responsible for cancellations due to circumstances beyond the control of New Product Events, including, but not limited to, labor strikes, terrorism, earthquakes, fire, and weather conditions.  For circumstances outside of those listed above, New Product Events reserves the right to cancel any event at any time prior to the event. Should New Product Events cancel an event, a full refund will be made to the exhibitors for the amount paid to New Product Events at the time of the cancellation.

Speed Pitching Sponsorships
Event management has final say on the placement and size of display tables.
Character limit applies to lunch card imprinting; Table décor ideas must be submitted in advance for approval.
Table décor must arrive at the hotel by 6am the morning of the event.  A company representative can have access to the event room at 7am to 8am to set up the décor.
Event management has final say on all signage design and placement.
High resolution, transparent background logo must be submitted 6 weeks before the event.
Deadline to submit postcard will be 3 weeks prior to the event.
Facebook, Twitter and Instagram posts must be submitted 1 week prior to the event. Please include your tags and hashtags.  We reserve the right to edit as necessary.
