Approximately one week prior to the event, a preliminary list of media outlets that have RSVP’d will be sent out.

FINAL ATTENDEE CONTACT SHEET

You will receive a detailed media contact list after the event, as the attendees may change up to the day of the event.

The only products allowed are the products you have registered to bring.  If any products other than the registered products are on display, you will be asked to remove them.

Gold:  3 products

Any product switches MUST be requested in writing to Nicole@NewProductEvents.com or you will have to eliminate that product from your display.  

You will get a response in writing with either an approval or denial of the product based on whether or not that product category is already taken by another exhibitor.

Booth Customization Step-by-Step

BASIC INFORMATION SECTION

PROVIDE YOUR BOOTH NAME

Please use the brand name of the products you are exhibiting.  We want the directory to match the booths as precisely as possible.

UPLOAD YOUR LOGO

You will be asked to upload a high-resolution logo.  The dimensions for the logo are 110 x 30 px.  You will be able to crop your logo to this ratio if you don’t have one already prepared to fit.

WRITE YOUR BOOTH DESCRIPTION

This is like an About Us blurb about the brand and products you’re exhibiting.  It can be as long or as short as you like, but we recommend at least a couple of sentences on what makes your products or brand unique.

SELECT YOUR BOOTH TEMPLATE

There are a number of booth setups available to you.  Each one offers a different configuration of images and styles.  Visit our Holiday Gift Guide Gallery to see last year’s virtual booths.  Click through all the options to find one that works best for you.

All templates have placeholder areas where you can put in your own images/text/videos. (They’re marked in gray with a big X inside.) Size in pixels for each banner space is provided for each template.

SELECT YOUR IMAGES

You should be prepared with at least 6-10 images with a variety of cropping options. Have plenty of images on hand.  Now is the time to get working on ideas, get the client to approve the images, and any other creative decisions made before you start building your booth.

For example, the booth template pictured above has placeholders for 4 images.  The pixel dimensions are shown inside of each picture frame.  You will need to select images that will crop well to that size. 

UPLOAD YOUR IMAGES

To insert an image, just click on the image placeholder to upload your image.  You will then size and crop to fit.

LINK YOUR IMAGES

These images can be static product shots or links to a video.  Enter the URL to link a booth image to a video.

CONTENT LINKS

You can add links to external websites on your booth.  These can be your social media channels, product press page, consumer pages, or an about us page, etc.

These will be links at the bottom of your booth, like this:

You may want to set up a Request for Samples form, or a Contact Us form, or any other pertinent information that you want easily available.  If you don’t have these already created, now is the time to get that done and have your URLs ready.  Google Forms has some easy-to-use pre-made forms.

Double-check your links, the media won’t circle back to ask about a broken link.  You may want to create links that are uniquely dedicated to this event.  Get all this done in the next couple of weeks so you’re good to go!

ENTERING YOUR URLS

You’ll enter them in a form such as this:

Decide on the Link Title now, so you’re not bogged down with decisions when you’re building your booth.

DOCUMENT & VIDEO UPLOADS

UPLOAD YOUR DOCUMENTS

You can add Documents (PDF, Word, Excel, Powerpoint) to your booth’s Resource Center. It’s an ideal place for the media to access your company information, product one-sheets, press kit, and more. You can attach a number of downloadable files for the media to save for future reference.

These will be links at the bottom of your booth, like this:

Get your documents ready and give them unique names so that the media can easily locate them on their computer after the event.  A file called “presskit.pdf” is very confusing when you are sorting through several documents.

UPLOAD YOUR VIDEOS

You can upload videos of any type provided they are linked to YouTube or Vimeo.  If you don’t have a YouTube or Vimeo channel set up, now is the time to get that going so your videos are uploaded there first, then all you have to do is connect the link to your booth.

The length of your video is entirely up to you, however, take into consideration that the media have several booths to visit.  Our suggestion would be between 30-90 seconds.  The size of the finished video does not matter, because it won’t be hosted on the event site.  You must upload it to either YouTube or Vimeo for viewing.

You cannot upload the .mov or .mp4 file, it MUST be in the form of a link to YouTube or Vimeo.

BOOTH REPRESENTATIVES

CREATE YOUR BOOTH REP ACCOUNTS

On the event day, we recommend having at least a couple of team members available online to interact with the Media via chat.

All we need is their name and email address, and we’ll create Booth Rep accounts for them. Each rep can then login with their own accounts when the event goes live.

If you have a special guest, you can also provide the times they will be online and we can display that on the booth so that attendees know when to expect them.

Once you press the submit button below, we will be notified.  We will review your booth and get back to you with any issues that might need resolving.

How do I remove/change graphics/images from my booth?

Simply return to your booth editing, click on the image you want to replace, and upload a different image.  Save and continue.

How can the attendee easily get back to the exhibitor booth after clicking an external link on the navigation bar?

External links will always open in a separate tab, keeping the event tab open at all times for easy navigation back to the event.  

However, we recommend not using any external URL in order to minimize distractions and keep the media focused on the event.   

Alternatively, you can send URLs would be to include them in a PDF and upload the PDF to your Resource Center.  Media can visit those external URLs after the event when they are reviewing the materials.

Can exhibitors upload moving images/GIFs to their booth?

Unfortunately, the platform will not support GIFs, only static images or video links.

Will a brand know if a media attendee is currently looking at their booth?

You will know if an attendee is at your booth if they initiate a chat conversation.  Otherwise, you will not know until after the event is over and you receive your event data.

There will be a training session a couple of weeks before the event explaining how to operate your booth video and text chat functions.

Can I have an avatar at my booth?

There are booth selections with one or two avatars or without avatars, as well as male or female avatars.  When you select your booth choose the version, if available, that has the avatars you want.  You can’t, however, swap avatars without customization.

What would happen if multiple people want to video chat at the same time in one booth?

Each booth has a chat room.  Exhibitor reps are in the chat room for the duration of the event.  As the media attendee initiates a chat, a rep will respond.  If another media enters the chat room and initiates a chat, another exhibitor rep can respond.   Should more media attendees be in the chat room than there are reps to respond,  they will have to wait in the chat room until someone is available to respond.

Can exhibitors initiate a chat with media attendees?

Yes, both exhibitors and the media can initiate a chat.
