Planning your trip to New York City

The New York City airports are:

La Guardia Airport (LGA) is about is about 30-45 minutes from the venue.

Newark Liberty International Airport (EWR) is about 40-50 minutes from the venue.

John F. Kennedy International Airport (JFK) is about 50-90 minutes from the venue.

Do not expect to leave the venue on the day of the event until at least 8:00pm.

This is optional, but if you’d like us to send an invitation to specific journalists, we can do that on your behalf. 

Please do not invite any media directly, as we need to make sure they have the proper login credentials. And are on our breakout room schedule.

If you have more than five journalists on your wish list, you can resubmit the form as many times as you like.

Day of Event Details

Please do not try to access the event space the day before the event. 

Staff is setting up the room, delivering boxes, running electrical, etc.

Non-staff members are NOT allowed in the room before 8:30am on the day of the event.

The event is held in the Zeigfeld Ballroom on the 2nd Floor.

Please arrive between 8:30am and 10:00am.  

Please leave yourself plenty of time to set up your display and be ready by 11:30am, when the doors open to the media.

If you shipped anything in advance, your boxes will be at your booth when you arrive, provided you have submitted the Tracking Number Form below.

You may bring anything that makes your booth enticing, as long as it doesn’t interfere with another booth, extend beyond your booth’s dimensions, or violate any guidelines listed below under Booth Design Guidelines.

Bring all the tools you need to assemble your booth display and signage. 

You can hide anything not part of your display under your table skirt or in the storage room. 

A storage room will be available for extra supplies, boxes needed after the event, luggage, and food prep space.

Coffee, tea, and soft beverages will be set out all day at the Beverage Bar located inside the ballroom.

Please eat breakfast before arriving.  

By 11:15am, please have your booth completely set up.  Staff will come through and clear away the trash.

Doors will open promptly at 11:30am.

Please Note: The media are provided with a buffet at both times the doors are open for the event.  To be fair to everyone, please do NOT mingle with the media outside at the buffet.

The only exhibitors allowed to be in the media buffet area is the Media Dining Sponsor.

Exhibitor lunch break is 2:00pm to 3:45pm. 

We will provide a Visa Gift Card for lunch, with a list of nearby places to eat.

Doors will re-open promptly at 4:00pm.

Media Samples & contact Information

The media RSVP list of outlets will be sent a week before the event.

The final media attendee contact information will be sent out by Monday, July 27.

We suggest having 75-100 samples and 100-120 press materials available.  

You are not required to hand out samples to the media; however, it is a good idea to send them back with something to remember your company and product.

Food and beverage samples should be under 4 ounces per serving unless in their standard packaging.

Please remember that if you plan to use an appliance such as a toaster or hot plate, you must order electricity, as no wall outlets will be available during the event.

Please remember to bring food service gloves, small cups, napkins, toothpicks, paper plates, utensils, etc., and anything else that will facilitate distribution and cleanup. 

The Hold Harmless form below must be submitted to serve any food or beverage at the event.

The only products allowed are the products you have registered to bring.  If any products other than the registered products are on display, you will be asked to remove them.  

You can create your display with various colors, shapes, patterns, etc., for each of the products.

If you did not purchase product exclusivity for your products when you registered, please note that there is a chance that there will be a competing product.

Booth Design Guidelines & Media Sample Ideas

Be as creative and unique as possible, but please be advised of the basic rules:

  • Banners cannot be taller than 9 feet. You cannot attach your banner to the hotel walls, floor, or ceiling.  Banners and signs cannot be placed in front or on the sides of your booth, only behind.
 
  • Make sure the reverse side of your banner is grey or white and completely opaque. Otherwise, the reverse image of your banner becomes unwanted decor for the exhibitor behind you.  You will be asked to cover the reverse side of your banner.
 
  • Booth décor cannot block another exhibitor’s booth or be disruptive in nature.
 
  • No volume or flashing lights are allowed on any media presentations inside the event room, as they interfere with conversations at adjacent tables.
 
  • Your entire booth display must be completely within the booth boundaries.

We will do a walkthrough before the event starts to determine whether any display items disrupt other exhibitors.

If you are concerned that an exhibitor’s display is affecting your booth, please speak directly with event staff as soon as possible.  Once the event has started, it is too late to have your neighbor dismantle something on their booth.

If something changes during the event, like loud music, that you did not expect prior to the event start time, please let a staff member know ASAP.

Please do not approach the exhibitor demanding alterations to their booth display. If we determine that an exhibitor is in violation of any of these rules, we will ask them to remove/modify the display.

Create a welcoming, visually interesting booth!

  • Utilize vertical space for colorful signage.  Define your booth with flooring or custom table skirts so it stands out.
 
  • Include something at your booth that the media can interact with, not just view.
 
  • Display every color and size of your product.  Displaying all the different sizes and colors of a product makes for a more interesting display.
 
  • If your product is small, consider risers to add height to your display, such as acrylic displays or wrapped boxes.  Bring plenty of them to fill the table.
 
  • Consider small signage on your table to fill the space.
 
  • If your product is large, consider removing the banquet table.
 
  • Coordinate your booth decor with the event theme.  Consider wearing branded t-shirts or aprons in that theme, too.

Tips for samples:

  • Remember that the media will be carrying these samples home.  So be mindful of how heavy or large your take-home sample is.  
 
  • If your product is heavy, large, or expensive, consider having boxes ready for shipping where they can simply write their address on the box for you to ship later that day.
 
  • So often we see these lovely gift bags with tissue and ornamentation that just get discarded in the hallway as the media try to condense all their samples as much as possible.  Put your money and effort elsewhere and keep your sample as simple and compact as possible.
 
  • If you are handing out sheets of paper, consider putting them in a flat envelope, as paperclips and loose papers tend to get smashed and torn at the bottom of the tote bag. Or, create a QR code they can scan at your booth to download papers and print at home.
 
  • If your product is large or expensive (i.e., TVs, vacuums, fine jewelry) and you’re not handing out actual product, think creatively about what you’ll give away as a reminder of your product.
 
  • Attach your press contact information to every sample.  When the media get home, and all they have is a box with a product in it, save them the effort of having to look up your brand on the Exhibitor Contact Sheet.  Even consider attaching a few story angles right there on the sample!

Booth assignments are subject to change at New Product Events’ discretion for various reasons, such as electrical access, booth package changes, load-in/out issues, etc.  

Some booths have not been assigned and will be posted about a month before the event.

Requests for booth changes are NOT accepted.

Incoming & outgoing shipping

PLEASE PLAN YOUR SHIPMENT TO ARRIVE BETWEEN:  Tuesday, July 14 & Monday, July 20

Boxes arriving after 4:00pm, Tuesday, July 21 are at risk of NOT making it to the event.

Be advised that the boxes are not stored on-site and will be loaded on the delivery truck on Tuesday, July 21, and delivered to the venue on Wednesday, July 22.

After the event, you can repack any boxes that need to be shipped out.  

They must be sealed, labeled, and ready to go.

Outgoing shipments will be stored at the Ziegfled overnight and picked up by FedEx and/or UPS the following morning. If you are shipping out with another carrier, please let us know so that we can schedule a pickup.

The charge for this service is as follows:

Boxes over 100 lbs:  $40
Crates/Pallets:  $60

This fee does not include the fees charged by FedEx and/or UPS for shipping.

If you need to send your products via messenger directly to the venue, please make sure that they arrive between:

  • 12 pm and 4 pm on Wednesday, July 22.  We will be there to sign for it during those hours ONLY.
  • 8:30 am and 10:30 am on Thursday, July 23.  You must wait in the lobby to receive it.

The Zeigfeld Ballroom is not attached to a hotel, so certain services and supplies are unavailable.

Do not forget to bring:

  • Your tracking numbers for every box you shipped with the contents.
  • Any and all tools needed to set up your booth, including screwdrivers, hammers, weights, clips, etc.
  • Carton cutters or scissors to get into your boxes.
  • Tape to seal boxes shipping out after the event.
  • Your FedEx or UPS account numbers for outgoing shipments.
